Terms and Conditions

DEPOSITS & PAYMENTS
All packages must be prepaid. Upon confirmation of the tour package and travel arrangements, a non-refundable deposit of 20% is payable to secure all reservations. The balance of the total cost should be received no less than 6 weeks to the commencement of the tour. Nonetheless, and in very exceptional situations we accept cash payments upon arrival but this must be done before the tour can take-off. All quotations are done in Euros with 1€ = 655FCFA. Package costs are guaranteed once full payment has been received except where subsequent increases are beyond the control of Flex Tours, but in a situation where this arises, Flex Tours will arrive at a consensual decision with the outgoing Tour Operator. Accepted payment methods include bank transfer and cash. For payment by bank transfer, please make sure bank charges are for your account. We don’t accept credit card payments since it is not commonly used in Cameroon. Please in making payments, make sure you have read, understood and accepted the above Terms and Conditions. All payments are made into our main company account below.

SPECIAL REQUESTS
In a situation where some clients may have health, dietary and other special requests, these should be specified at time of booking. Flex Tours will endeavor to assist in the best ways possible but cannot guarantee such.
PACKAGE EXCLUSIONS
Package quotes do not usually include every aspect of the tour but this varies with tours and will be only specified on each itinerary.
CANCELLATIONS
In the event of cancellation of a package for any reason, the following cancellation charges will be levied in most cases: More than 6 weeks prior to departure: 20% of total price. 4-6 weeks prior to departure: 50% of total price. 2-4 weeks prior to departure: 75% of total price. 0-2 weeks prior to departure: 100% of total price. Some of our suppliers have different cancellation structures to which the client has to adhere.

REFUNDS
Refunds will not be given for unused services or if client is a no-show. Certain excursions will be refunded in part or in full if they are cancelled by the Operator due to bad weather.

DELAYS
Flex Tours cannot be held responsible or liable for any delays prior to departure or during the course of any tour, whether brought about by technical difficulties, strikes, weather conditions or any other circumstances whatsoever whether foreseen or unforeseen. Any expenses whatsoever incurred relating to these unscheduled extensions will be entirely for the passenger's account. Nonetheless, in very exclusive circumstances Flex Tours out of their discretion can take certain steps to compensate some of these.
LATE BOOKING FEES
Late bookings are subject to a service charge of 20€. This does not form part of the tour price and is payable up front and non-refundable.

TRAVEL DOCUMENTS (passports, visas and health requirements)
It is the responsibility of the passenger to check that all travel documents are in order. This includes passport (validity should be valid for a minimum of 6 months after your intended return date); visa requirements (which can be furnished by Flex Tours); vaccinations; inoculations; re-entry permits etc. Flex Tours does not accept responsibility for any consequences whatsoever from a passenger's failure to ensure that they have complied with these necessary requirements.

INVITATION LETTERS, VISA PROCUREMENTS
These can only be prepared upon receipt of full payment for the package, a completed booking form and the signing of these terms and conditions.

INSURANCE
Flex Tours assumes that the sole decision to travel rests and is taken by the traveler and as such we strongly advise that clients take out comprehensive travel insurance that covers cancellation & curtailment of trip, illness, baggage loss and default. On our part, all our cars and boats of our suppliers are duly insured and comply with all relevant and current health and safety regulations and our drivers professionally trained to assure maximum safety during trips.
Clients agree that the guide will solely judge any condition that might permit him/her alter the agreed program at any time. This of course can be done only when the safety of the group and the continuation of the program are under any form of risk.

LIABILITY AND RESPONSIBILITY

Flex Tours acting as the receptive tour operator shall be liable for any sub-contractor engaged to fulfill the deliverables. The receptive tour operator is responsible for assisting the clients in ensuring that any sub-contractor is subject to the same obligations as the receptive tour operator, including the provision of any requested paperwork.

POSSIBLE CHANGES
Flex Tours and its service providers reserve the right to cancel any reservations prior to departure; in which event the entire payment will be refunded without any further obligation. The duration of the package may have to be extended or curtailed owing to unforeseen changes in transportation schedules. Any resultant expense shall be borne by the passenger and any saving refunded. On all tours, the right is reserved to substitute hotels of a similar or higher category at no additional cost to the passenger.

RECONFIRMATION
Passengers are reminded of the importance of reconfirming all flight reservations and timings at least 72 hours prior to departure with the airline concerned. Failure to do so may result in the cancellation of your reservation.

CONSERVATION AREAS NATIONAL PARKS AND LOCAL COMMUNITIES
The clients agree to participate in trips to such areas as tourists and by doing so respect the rights and customs of the local communities, support local economic activities and leave a minimal ecological footprint to the environment.
The clients agree to respect, maintain and stay within all procedures and house rules of all national parks that are to be visited. Also clients are subjected to respect the directives given by researchers during their entire stay in camps and during visits to the different habituated groups of gorillas.

AMENDMENTS
Flex Tours reserves the right to charge an amendment fee to confirmed reservations in addition to any cancellation charges which may be applicable.
